Comparison
OutboundManager vs manual Google Sheets
A spreadsheet is free, flexible and the right first tool: most outbound teams start there and many should stay there. It stops working when the team sends from several tools, because the weekly export, the reply clean-up and the match to CRM deals all become manual. OutboundManager does that same work for you: every connection syncs automatically every day, plus Sync now whenever you need it.
Where manual Google Sheets work well
It is free and already open
No purchase, no security review and no new login. If the team sends from one tool, an export into a sheet once a week is a reasonable process.
It bends to any question
A new metric is a new column. Nothing is faster for a one-off analysis, a board slide or testing which numbers you actually want to track.
Everyone can read it
Finance, founders and reps all know how a sheet works, and you can share it with a link.
You own the logic
Every formula is visible. When a number looks wrong you can trace it, which is not true of every dashboard.
Where it breaks for multi-tool outbound
Every tool exports a different shape
Each sender, the LinkedIn tool and the dialer have their own columns, date formats and definitions of a reply. Someone has to reconcile them every week, and the sheet is out of date the next morning.
Reply counts cannot be trusted
An export counts out-of-office messages and unsubscribe requests as replies. Cleaning them out means reading the replies, which nobody has time for, so the reply rate is whatever each tool says.
Matching campaigns to deals is a lookup that breaks
Tying a deal to the campaign that sourced it means joining on email address across two exports. A different address on the CRM contact, or a LinkedIn-only touch, and the row silently falls out.
Rep numbers depend on who sent from which mailbox
Exports are per mailbox or per campaign, not per rep. A rep with six mailboxes and a LinkedIn seat is six rows and a different file.
It lives in one person
The sheet works while its builder maintains it. When they are on holiday or leave, the report stops or quietly drifts.

When to choose which
Stay with manual Google Sheets if
- The team sends from one tool, or two that you rarely compare.
- You are still deciding which numbers matter and want to change the layout every week.
- You need a one-off analysis, not a weekly report.
- Nobody needs campaign to revenue yet; activity counts are enough.
Choose OutboundManager if
- Reps send from several tools and the weekly report is built by exporting each one.
- You want human replies separated from auto-replies without reading every reply.
- You need to know which campaign and which rep sourced each HubSpot deal.
- The person who maintains the sheet has better things to do on a Friday.
Questions about manual Google Sheets
Can I keep my spreadsheet and use OutboundManager next to it?
Yes. Many teams keep a sheet for board reporting or one-off analysis. OutboundManager replaces the weekly export and reconciliation, not the sheet itself. The campaign and rep tables can be read on screen, and enrichment results export as CSV.
How long does it take to replace the weekly export?
Setup is pasting one API key per tool and choosing a rep for each sender. The first sync backfills up to 90 days, so the dashboards have history on the first day.
What can a sheet do that OutboundManager cannot?
Arbitrary formulas, custom layouts and data from tools OutboundManager does not connect. OutboundManager has fixed dashboards for the team overview, rep scorecard, campaigns and replies. If you need a metric that is not there, a sheet is still the flexible option.
What does OutboundManager cost, and is there a trial?
Pro is $27 a month or $250 a year per workspace, with every feature and no per-seat charge. There is a 7-day free trial with no card. Teams that want onboarding and dashboards built around them can ask for a Custom plan.
