Outbound problem
I cannot tell which cold campaign actually made pipeline
Reply rates live in the sending tools and deals live in the CRM. Nothing connects them, so campaigns are judged on replies and budget is decided on volume instead of pipeline.
What it looks like
- You can name the campaign with the best reply rate, but not the one that produced the most pipeline.
- Deals in the CRM have a source of "Outbound" at best, with no campaign behind it.
- A campaign with a modest reply rate keeps producing good meetings and nobody can prove it.
- LinkedIn and email campaigns are never compared, because they sit in different tools.
Why it happens
A sending tool identifies a prospect by the email address or LinkedIn profile it contacted. The CRM identifies a deal by its own record ID, linked to contacts that were often created later, by hand, sometimes with a different email address. There is no shared key between the campaign and the deal.
Even when a prospect is pushed to the CRM after replying, the campaign name usually does not travel with them. The CRM knows a deal exists; it does not know which message started it.
What teams try
A lookup by email in a spreadsheet
It works for clean rows and drops every deal whose contact has a different address, a LinkedIn-only touch, or several contacts.
A "source campaign" field that reps fill in
It depends on memory at the moment a deal is created. It is blank or guessed on most deals within a month.
A Zapier sync from the sender into the CRM
It can carry a campaign name onto a contact, but it has to be rebuilt per tool, and it still does not decide which touch gets credit when there were several.
UTM links in cold emails
They only work when the prospect clicks and fills in a form. Most cold outbound deals start with a reply, not a click.
How OutboundManager handles it
OutboundManager matches the people in your sending tools to the contacts on your HubSpot deals, then credits each deal to one outbound touch with a rule you can explain in a sentence.
- Contacts are matched on email address, then on LinkedIn URL. Deals link to contacts through HubSpot associations, with the company domain as a fallback.
- Each deal is credited to the most recent outbound touch (an email, a LinkedIn message or invite, or a call) before the deal was created, within 120 days. That touch decides the campaign, channel and rep.
- Deals with no touch in that window are counted as not outbound, so the outbound number is not inflated.
- The campaigns table lists every email and LinkedIn campaign across tools with sends, reply rate, positive rate, meetings, deals, pipeline and won revenue, sortable by any of them.
- Optional write-back puts the source campaign, channel, rep and touch date on the HubSpot deal. It is off until you turn it on.

Fix it this week
These steps help whether or not you ever use OutboundManager.
- Decide your attribution rule and write it down. "Last outbound touch before the deal was created" is simple and hard to argue with.
- Make sure every deal in the CRM has at least one associated contact. A deal with no contact cannot be traced to anything.
- Name campaigns consistently: audience, offer, channel and month. You will need to read them in a table later.
- For last quarter's closed-won deals, look up the primary contact in your sending tools by hand. Ten deals is enough to show whether your best-reply campaign is your best-pipeline campaign.
- Stop ranking campaigns by reply rate alone in the weekly meeting. Add meetings booked, even if it is counted by hand.
Questions
Which attribution model does it use?
One rule: the last outbound touch before the deal was created, within 120 days. There is no multi-touch or weighted model.
What about deals that came from inbound?
A deal with no outbound touch on its contacts in the 120 days before it was created is counted as not outbound. It is not credited to any campaign.
Does it work without HubSpot?
Activity, replies and the rep scorecard work without a CRM. Meetings, deals, pipeline and revenue come from HubSpot, which is the only CRM supported today.
