Outbound problem

When we switch sending tools we lose our history and attribution

Outbound teams change senders often. Each move resets the reporting: the old tool's history is cancelled with the subscription, campaign names do not carry over, and last quarter cannot be compared with this one.

What it looks like

  • After a migration, every chart starts on the day you switched.
  • Deals that close this quarter were sourced by campaigns in a tool you no longer pay for.
  • Benchmarks such as "our normal reply rate" are lost, so nobody can tell whether the new tool performs better.
  • The team runs two senders side by side for months and reports on neither properly.
  • Reps' targets are reset, because their history cannot be carried across.

Why it happens

History lives inside the sending tool and nowhere else. Campaigns, sends and replies are stored under that tool's own IDs, and when the subscription ends the data goes with it. An export preserves rows, not the links between a send, a reply, a rep and a deal.

The new tool starts empty and defines things differently, so even a careful export cannot be loaded into it. Attribution suffers most: a deal created next month may have been sourced by a touch that only the old tool recorded.

What teams try

  • A full CSV export before cancelling

Worth doing as a backup, but it is a set of flat files. Nobody joins them to the new tool's data afterwards.

  • Keeping the old subscription for a few months

It preserves access at the cost of paying twice, and the two tools still report separately.

  • Accepting a fresh start

The cheapest option. It gives up the baseline you need to judge whether the switch was worth it.

  • Never switching

It avoids the problem by keeping a tool for its history, not for how well it sends.

How OutboundManager handles it

OutboundManager keeps the synced activity from every tool in one place, under your reps and your contacts, not under any one tool's IDs. Adding a sender does not reset anything.

  • Each connection is synced into the same model: senders, campaigns, contacts and activities. Connect the new tool next to the old one and both appear in the same rep scorecard and campaigns table.
  • Contacts are de-duplicated on email, then LinkedIn URL, so a prospect contacted from the old tool and the new one is one person with one history.
  • Reps are separate from senders. Map the new tool's mailboxes to the same reps and their scorecards continue.
  • Attribution looks at the last outbound touch within 120 days before the deal was created, across all connected tools, so a deal sourced in the old tool keeps its credit.
  • Be aware of the limits: the first sync of a tool backfills up to 90 days, so connect a tool before you leave it. History is kept while the connection stays in place; removing a connection removes the activity that was synced through it.

Fix it this week

These steps help whether or not you ever use OutboundManager.

  1. Before cancelling a sender, export campaigns, leads, sends and replies with dates. Store the files where the team can find them.
  2. Record your baseline in one place: sends, human reply rate, positive reply rate and meetings per week for the last quarter.
  3. Keep a mapping of old campaign names to new ones, so a campaign that continues in the new tool can be read as one campaign.
  4. Carry suppression across first: opt-outs and bounced addresses from the old tool must be blocked in the new one before anything is sent.
  5. Overlap the two tools for at least one sales cycle if you can, so deals sourced in the old tool have time to appear.

Questions

Can OutboundManager import a CSV export from a tool I already cancelled?

No. Activity comes from live connections through each tool's API. Connect a tool while you still have access to it; the first sync backfills up to 90 days.

What happens to the history when I cancel the old tool?

The data already synced stays in OutboundManager as long as you leave the connection in place. The connection will show an error once the key stops working, and nothing new arrives. If you remove the connection, the activity synced through it is removed too.

Does OutboundManager migrate campaigns or leads between tools?

No. It does not build or move campaigns and it does not send outreach. It reports across the tools you connect.
