Email integration

Smartlead + OutboundManager

Count Smartlead sends, replies and bounces per rep and per campaign, link them to HubSpot deals, and reply in-thread from one queue.

Connects with an API key. 7-day free trial, then $27 a month. Never sends outreach for you.

Why connect Smartlead

  • Rep scorecard with Smartlead sends and replies next to LinkedIn and call activity
  • Campaign to revenue: Smartlead campaigns ranked by meetings, pipeline and won revenue, not just reply rate
  • Answer Smartlead replies in their thread from the unified reply queue
  • Keep history in one place if you move mailboxes between Smartlead and another sender

What we sync

  • Email accounts (mailboxes), each mapped to a rep
  • Campaigns, as email campaigns
  • Every sent email, with bounces flagged
  • Replies from each lead's message history, with the reply text, classified by intent
  • Lead details for leads that replied

Campaign to pipeline: every campaign across tools with meetings, deals, pipeline and won revenue. Demo data.

How to connect Smartlead

  1. In Smartlead, open Settings and copy your API key.
  2. In OutboundManager, an admin opens Settings → Connections and clicks Add connection.
  3. Pick Smartlead. Paste the API key, click Test, then Save. The key is checked against the tool before it is stored, encrypted.
  4. Open Settings → Reps & senders and give each sender a rep. Suggested matches by email are offered; re-mapping later moves the history with the sender.

Good to know

  • Smartlead allows 60 API requests a minute per plan, so OutboundManager paces itself and a large account can take a few hourly runs to backfill.
  • The sending mailbox of a send is only known when the campaign uses exactly one mailbox; otherwise the campaign owner gets the credit.
  • Opens and clicks are not imported.

Smartlead questions

Are Smartlead lead categories used?

Only as a fallback. Replies are classified from the reply text; the Smartlead category is used when the text is not available.

Can OutboundManager change anything in Smartlead?

No. It only reads from Smartlead, except a reply a person on your team writes and sends from the reply queue. It never creates campaigns, sequences or messages on its own.

How often does it sync?

Every connection syncs once an hour. The first sync backfills up to 90 days, so the dashboards are useful the same day. Large backfills can take more than one run; each run picks up where the last one stopped.
