Outbound problem

Every Friday I rebuild the outbound report by hand

The weekly SDR report is an export from every sending tool, pasted into a sheet and reconciled against the CRM. It takes an afternoon, it is out of date by Monday, and it is the only place the numbers exist.

What it looks like

  • A recurring calendar block for "the report", usually on Friday afternoon or Monday morning.
  • One CSV per tool, each with different columns, date formats and its own idea of what a reply is.
  • Numbers that do not match what a rep sees in their own tool, and a meeting spent arguing about which is right.
  • When the person who owns the sheet is away, there is no report that week.
  • Questions like "how was last Tuesday?" cannot be answered until the next export.

Why it happens

Each outbound tool reports on itself. A cold email sender knows its mailboxes and campaigns, the LinkedIn tool knows its accounts, the dialer knows its seats and the CRM knows its deals. None of them shares an identifier with the others, so there is no report that spans them unless a person builds one.

The join that the sheet performs every week is always the same: map mailboxes and accounts to reps, strip out auto-replies, match contacts to deals by email. It is repeatable work, which is exactly why it is painful to do by hand.

What teams try

  • A better spreadsheet template

Formulas save the arithmetic, not the exports. The pasting, the column mapping and the clean-up still happen every week.

  • Asking each rep to report their own numbers

Fast, but every rep counts differently and self-reported numbers cannot be checked against anything.

  • A Zapier or webhook feed into the sheet

It works until a tool changes a field or a zap fails silently. Then the sheet is wrong and nobody notices for weeks.

  • Screenshots of each tool in the team channel

No totals, no per-rep view across tools, and nothing that reaches pipeline.

How OutboundManager handles it

OutboundManager does the weekly join for you: every connection syncs automatically every day, plus Sync now whenever you need it. You connect each tool with an API key and map senders to reps once; after that the report exists without anyone building it.

  • Every connection syncs automatically every day, plus Sync now whenever you need it, and the first sync backfills up to 90 days, so there is history on day one.
  • The team overview shows emails sent, LinkedIn touches, human replies, positive replies, calls, meetings, new pipeline and closed-won for any period, with a daily activity chart.
  • A "needs attention" list flags reps under 60% of target, connections in error and campaigns with a very low reply rate after 500 sends.
  • Every Monday morning, in your workspace timezone, a summary of last week against the week before goes out by email and to a Slack channel: the headline numbers, the top three campaigns by pipeline, reps under target and any broken connection.
  • It reports on your tools; it never runs outreach of its own.

Fix it this week

These steps help whether or not you ever use OutboundManager.

  1. Write down the five to eight numbers the report must contain, and delete every other column. Most weekly reports are slow because they grew.
  2. Fix one definition of a reply (a human wrote it) and one of a meeting (held, or booked), and write both at the top of the sheet.
  3. Keep a small table of mailbox or account to rep, and reuse it every week instead of assigning by memory.
  4. Export the same date range from every tool, in the same timezone. Most mismatches come from this alone.
  5. Time the report once. Knowing it takes three hours makes the decision to automate or simplify much easier.

Questions

What is in the Monday report?

Last week against the week before: sends, LinkedIn touches, human and positive replies, meetings, new pipeline and closed-won, the top three campaigns by pipeline, reps under 60% of target and any connection in error. It is sent by email and, if you add a webhook, to Slack.

Can I see the numbers on a Wednesday, not only on Monday?

Yes. The dashboards update each time the tools sync (automatically every day, or straight away with Sync now), and the period picker covers this week, last week, the last 30 days or a custom range. Rep targets pro-rate to the period you pick.

How much setup is there?

One API key per tool, then choosing a rep for each mailbox, LinkedIn account, dialer seat and HubSpot owner. Matches are suggested by email address.

See this on your own tools, not in a demo.

Pro is $27 a month or $250 a year per workspace, not per seat.
