Best practices for running your team on OutboundManager

Habits that keep the numbers trustworthy and useful: naming, mapping, a weekly rhythm, targets, replies and enrichment budgets.

For: Managers

The dashboards are only as good as the setup behind them. These are the habits that keep them right with the least effort.

Name campaigns so they own themselves

The Campaigns table: every campaign across tools with its owner, sends, reply rates, meetings, deals and pipeline

Campaigns named with the rep in the name pick up their owner automatically. Demo data.

  • Put the rep's full name, or first name and last initial, in every campaign name: "Fintech CFOs - Priya L".
  • One rep per campaign name. A name with two reps gets no automatic owner.
  • Keep the same pattern in every tool. A campaign then gets the right owner on its first sync, and its replies go to the right person without anyone assigning them.
  • Label connections clearly when you have more than one account of a tool, for example "HeyReach - EMEA".

Keep mapping clean

  • When you add a mailbox or a LinkedIn account in a sending tool, map it after the next sync. New senders are the usual reason a rep's numbers look low.
  • Glance at the Unassigned row on the scorecard each week. It should be near zero.
  • Glance at the Needs owner chip on Campaigns each week.
  • Do not delete and re-add connections to tidy up. Re-map instead; history follows the mapping.

A weekly rhythm that works

The rep scorecard: one row per rep with sends, LinkedIn touches, calls, replies, meetings and pipeline, and bars against weekly targets

Set targets you will act on

  • Start from what the team did in the last four weeks, not from an aspiration. A target nobody hits flags everyone and tells you nothing.
  • Use the replies and meetings targets as the ones that matter. Sends are an input.
  • Change a target when a rep's role changes, for example moving from email to calls. Targets apply to past periods too, so note when you changed them.

Read the numbers the right way

  • Compare reply rates, not reply counts, between campaigns of different size.
  • Do not judge a campaign under 100 sends. The diagnosis feature refuses to, for the same reason.
  • A high bounce rate is a list problem before it is a copy problem. Fix the list first.
  • An unsubscribe rate of 1% or more usually means the wrong audience.
  • Positive replies without meetings mean slow follow-up. Look at the reply queue before the copy.
  • Last-touch attribution credits the final campaign before a deal. Earlier campaigns that warmed the account get no credit. Keep that in mind before cutting a top-of-funnel campaign.

Run replies as a queue

  • Agree a response time for interested replies, and watch the Open replies column on Reps to see who is behind.
  • Let assignment follow campaign owners. Only re-assign by hand for holidays and handovers.
  • Re-classify a reply that was classified wrongly. It corrects the reply rate and keeps the queue honest.
  • Write the reply guidelines once: tone, booking link, what not to promise. Every AI draft follows them.
  • Never answer an unsubscribe with a pitch.

Spend enrichment credits deliberately

  • Order the waterfall by cost per valid email, cheapest acceptable provider first.
  • Keep the quality floor at Valid only for cold email. Catch-all addresses can still bounce.
  • Include a LinkedIn URL in your lists whenever you have one. Every provider accepts it, and Crustdata needs it.
  • Include the company domain with a name. Emails at another company are then rejected instead of sent to.
  • Leave the cache period at 90 days unless you have a reason. Re-running a list inside it costs nothing.
  • Turn phone on only for the rows you will call. Phone lookups cost more credits than email on the providers that find phones.

Housekeeping

  • When a rep leaves: remove the login, untick Active on the rep record, re-map their senders, re-assign open replies.
  • When you switch sending tools: connect the new one and keep the old connection. History, reps and attribution then stay in one place.
  • Check Settings → Connections after anyone changes plans, admins or API settings in a tool. That is when keys break.
