A guide for reps

What you see when you are invited as a rep, how to answer your replies, and what your manager can and cannot see.

For: SDRs and anyone invited with the rep role

Your manager set up OutboundManager so the team's outbound numbers live in one place. As a rep you get your own view: your numbers, your campaigns and your replies. You do not need to connect anything.

Joining

  1. Open the invite link your manager sent you. It works for 14 days and only for the email address it was made for.
  2. Press Create account and choose a password (at least 10 characters, and not your email address). If you already have an OutboundManager login with that email, sign in instead.
  3. You land on My week.

If you see "Your login is not linked to a rep yet", your manager still has to link your login to your rep record in Settings → Team. Until then there are no numbers to show.

Answering replies

A rep's reply queue filtered to Assigned to me, with classified replies on the left and an open thread on the right

A rep's reply queue, filtered to Assigned to me. Demo data.

  • Assigned to me is your queue. Open a reply, write your answer and press Send. It goes out through the tool that received the reply, from the same mailbox or LinkedIn account, in the same thread.
  • An unassigned reply on one of your own senders shows under Unassigned from my senders. Press Take it to make it yours.
  • Draft with AI writes a suggestion into the box. Nothing is sent until you press Send, so read it and edit it first.
  • Auto-replies and unsubscribes are kept out of your queue. Do not pitch someone who unsubscribed.

Where your numbers come from

Activity is credited to you when it was sent from a mailbox, LinkedIn account or dialer seat that is mapped to you, or when it has no mapped sender and you own the campaign. If something of yours is missing, tell your manager which mailbox or campaign it was: the mapping is usually the cause, and fixing it moves the history to you straight away.

Every connection syncs automatically every day, plus Sync now whenever you need it. So a send from this morning may not be on your scorecard until the next sync.

What others can see

  • Managers and admins see every rep's numbers and replies.
  • Other reps cannot see your numbers, your campaigns or your replies. You cannot see theirs.
  • If your manager turns on "Reps can see team totals", everyone sees one combined team total. It never shows a per-rep breakdown or another rep's name.
  • Your Ask conversations are private to you.
