Team, roles and permissions

The three roles, exactly what each can see and do, how invites work, and how a login is linked to a rep record.

How access is enforced

  • Roles are checked on the server and inside the data queries, not just hidden in the interface.
  • A page a rep may not see, such as another rep's scorecard, answers "not found", exactly as if it did not exist.
  • Admin-only actions are refused for a manager even if they are attempted directly.

Inviting people

Settings, Team: the three roles explained, a members table with a role and a linked rep for each login, and the Invite someone form with email, role and Link to rep

Settings → Team: members with their role and linked rep, and the invite form. Demo data.

  1. Open Settings → Team and enter the person's email.
  2. Choose the role. For a rep, also choose the rep record under Link to rep.
  3. Copy the invite link and send it to them yourself. No email is sent by OutboundManager.
  • The link works for 14 days and only for the email address it was created for.
  • Admins can invite any role. Managers can invite, link and remove reps only.
  • One person can belong to several workspaces and switch between them from the sidebar.

A rep's login must be linked to their rep record, or they see "Your login is not linked to a rep yet" instead of numbers. Link it in the invite, or later from the Linked rep column in Settings → Team. A rep record with the same email as the login is offered as a one-click suggestion.

One login links to one rep record per workspace, and one rep record to one login.

Reps can see team totals

Off by default. When a manager turns it on, each linked rep sees one extra card with the team's combined totals. It never shows a per-rep breakdown or another rep's name, and every other screen stays limited to the rep's own data.

When someone leaves

  1. Remove them in Settings → Team. Their login loses access to the workspace at once.
  2. Untick Active on their rep record in Settings → Reps & senders. History is kept.
  3. Re-map their mailboxes and LinkedIn account if someone takes them over, and re-assign their open replies.
  4. If they created any of the API keys you connected, replace those keys. See Security best practices.

Note: The last admin of a workspace cannot be removed or demoted. Make someone else an admin first.
