Outbound problem
Replies are spread across five inboxes and nobody owns them
Replies land in each sending tool's inbox and each LinkedIn account. Reps check some of them, positive replies wait for days, and nobody can say which replies are still unanswered.
What it looks like
- A prospect says yes and gets an answer two days later, because the reply was in a tool nobody opened.
- Reps keep four tabs open to watch for replies, and still miss the LinkedIn ones.
- When a rep is on holiday, their replies sit untouched.
- Two people answer the same prospect, or each assumes the other did.
- There is no list of open replies, so there is nothing to review in a stand-up.
Why it happens
Every sending tool has its own inbox, because the reply has to be answered from the mailbox or LinkedIn account that received it. A team on three tools has three inboxes, each mixing real replies with out-of-office notices, and none of them knows about the others.
Ownership is implicit. A reply belongs to whoever owns the mailbox, which only works when one rep owns it, checks it and is at work that day. Nothing records that a reply was assigned, taken or handled.
What teams try
Forwarding all replies to one shared mailbox
Everything is in one place, but an answer sent from the shared mailbox breaks the thread, and LinkedIn replies still live elsewhere.
Reply notifications in a Slack channel
Good for speed, poor for ownership. A message in a busy channel is seen by everyone and handled by no one, and you cannot answer from it.
A rota for checking each tool
It works while people follow it. It adds a manual step per tool per day and still leaves no record of what is open.
Moving everything to one sending tool
It reduces the inboxes to one or two, at the cost of a migration, and LinkedIn usually stays separate anyway.
How OutboundManager handles it
OutboundManager puts human replies from every connected email and LinkedIn tool in one queue, with an owner on each, and lets you answer without leaving it.
- One list of replies across tools, filtered by class (interested, not now and so on), by rep and by campaign, with Unhandled as the default view.
- Answer in the thread: you write the reply and press Send, and it goes out through the tool that received it, from the same mailbox or LinkedIn account. This works for Instantly, Smartlead, Woodpecker, Lemlist and HeyReach.
- Each reply is assigned by default to the campaign owner, or else to the rep mapped to the sender. Managers can reassign one reply or many at once.
- Reps see "Assigned to me" first, and can take an unassigned reply. Managers can answer any reply.
- The scorecard shows open replies per rep, so unanswered replies are visible in the same place as activity.
- Nothing is sent automatically. A person writes every answer.

Fix it this week
These steps help whether or not you ever use OutboundManager.
- Set a response time for positive replies, for example the same working day, and say it out loud to the team.
- Give every mailbox and LinkedIn account a named owner and a named cover for holidays.
- Agree what "handled" means: answered, booked, or deliberately closed. Without it nobody can count open replies.
- Turn on reply notifications in each tool and send them to the owner, not only to a shared channel.
- Once a week, open every tool's inbox and count replies older than two days with no answer. Track that one number.
Questions
Do answers sent from OutboundManager stay in the original thread?
Yes. The answer is sent through the tool that received the reply, from the same mailbox or LinkedIn account, so the prospect sees one conversation. Sent answers are stored as replies and never counted as outreach.
Can it send automatic or AI-written replies?
No. There are no auto-replies, sequences or AI copy. A person writes the answer and presses Send.
Is it a full inbox?
No. It is a queue of replies to your outbound, with threads, assignment and a composer. It does not replace your email client, and LinkedIn replies that arrive outside a campaign cannot always be answered from it.
